Our website address is: https://vitawell-medi.co.uk.  We are Vitawell Anti-ageing clinic, a clinic based at 53 Brickfields Road, South Woodham Ferrers, Essex CM3 5DD. We provide non-invasive Aesthetic treatments.  Vitawell Medi is the trading name of D&D Enterprises UK Limited, a registered limited company (no. 09970905). The registered address is 27, Old Gloucester Street, LONDON, WC1N 3AX.

At Vitawell Medi , we’re committed to protecting and respecting your privacy.  This Policy explains when and why we collect personal information about you when you book online, visit our clinic for a free consultation or undergo treatment, how we use it and how we keep it secure.  We may change this Policy from time to time so please check our Policy occasionally to ensure that you’re happy with any changes. Your choices

You have a choice about whether or not you wish to receive information from us.  If you are happy for us to hold your information as advised and continue to contact you regarding your enquiry, consultation, booking, treatment or special offers then you do not need to do anything. If you do not want to receive communications from us about the special offers, services or products we provide, then you can select to not receive any communication from us by emailing debbie.s@vitawell-medi.co.uk stating that you no longer wish to receive any communications from Vitawell-Medi with your full name and that your data we hold is to be removed.  We will not contact you for marketing purposes by email, post, text or telephone if you have indicated that you do not wish to be contacted.   You can change your marketing preferences at any time by contacting us by email: debbie.s@vitawell-medi.co.uk or telephone on 01245 808280.

How we collect information from you?

We obtain information about you when you make an enquiry, book an appointment online or undergo a free consultation or treatment at our clinic, for example, when you consent to have a free consultation we are required to collect information about you on our consultation forms.

 

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.  An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.  If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.  When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.  If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.  For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

  • seek your views or comments on the services we provide;

  • notify you of changes to our services;

  • send you communications which you have requested and that may be of interest to you regarding our special offers. These may include information about campaigns and promotions of our products and services.

 

We review our retention periods for personal information on a regular basis. We are legally required to hold some types of information to fulfil our statutory obligations (for example for insurance purposes).   We will hold your personal information on our systems for as long as is necessary for the relevant treatment and for 1 year after your treatment has finished.

Who has access to your information?

We will not sell or rent your information to third parties.  We will not share your information with third parties for marketing purposes.

Third Party Service Providers working on our behalf

We work closely with FirstData Merchant accounting for the processing of card payments and Phorest  the processing of your booking, online deposits and payments and loyalty card both of these companies are third party product providers, to bring you a range of quality and reliable products and services designed to meet the needs of our clients.  When you are using our secure merchant payment service, your payment is processed by FirstData a third party payment processor, who specialises in the secure online capture and processing of credit/debit card transaction, the same is applicable when you make payments online through our booking system and Phorest secure cared payments.  Both of these companies are GDPR compliant with stringent security systems in place to protect your details and that of your debit or credit card.   Please be reassured that we will not release your information to any third parties other than those names herein or beyond the Vitawell Medi network for them to use for their own direct marketing purposes, unless you have requested us to do so, or we are required to do so by law, for example, by a court order or for the purposes of prevention of fraud or other crime.  If you have any questions regarding secure transactions, please contact us.

How you can access and update your information

The accuracy of your information is important to us. Security precautions in place to protect the loss, misuse or alteration of your information

When you give us personal information, we take steps to ensure that it’s treated securely. Any sensitive information (such as credit or debit card details) is encrypted and protected with the following software 128 Bit encryption on SSL by our Third Party Merchant Account Provider, First Data.  When you visit our website, www.vitawell-medi.co.uk you will see that it is encrypted and protected with an SSL Certification where you will see a lock icon.  Whilst we strive to protect your personal information, we cannot guarantee the security of any information you transmit to us, and you do so at your own risk.  Once we receive your information, we make our best effort to ensure its security on our systems. Where we have given (or where you have chosen) a password which enables you to access certain parts of our website, you are responsible for keeping this password confidential. We ask you not to share your password with anyone.

Profiling

We may analyse your personal information to create a profile of your interests and preferences so that we can contact you with information relevant to you.

We are concerned to protect the privacy of children aged 18 or under. If you are aged 18 or under‚ we will require your parent/guardian’s permission beforehand whenever you wish to provide us with personal information.
